About the event

General information


 What is Cancun Forum?

Most important business forum in the Greater Caribbean region, aimed to strengthen the ties for a better integration in the global value chains and to diversify the business areas in Latin America and the Greater Caribbean.

The main activities of the Cancun Forum are a business round tables between buyers and exporters from the region but also seminaries and workshops on building a regional strategy to project our business opportunities to others markets.


 The Forum Goals

The Cancun forum is focused on strengthening the synergies between the 48 Latin American and Caribbean economies through investments and on increasing the commercial flows for a better integration in the global value chains with market diversification pointing to Pacific-Asia, Africa and Europe.

Thanks to its air links, hotel infrastructure, and number of conference and convention centers, Cancun was chosen by Forbes magazine as the best city in Mexico for doing business.

A key aspect of a city are its communication links. Cancun International Airport has 32 airlines operating domestic and international flights. In terms of convention centers, Cancun Center Conventions & Exhibitions comprises 7,296 square meters of exhibition area, divided into three levels, and covers 7,000 square meters over thirteen open-plan rooms, and a 420-seat auditorium. With regard to accommodation, of the 170 existing hotels, 23 offer a combined total of over 70,000 square meters for this type of corporate events.

Finally, eating options are available all along Boulevard Kukulcán, with some 200 restaurants.

Business matchmaking sessions

 What is it about?

The business matchmaking sessions consists of planned business meetings designed to connect important regional companies with the Pacific-Asia, African and European markets.

The main objective of the Forum is the Business round, so it will be present in all the activities.

Business matchmaking sessions are a simple and efficient mechanism of planned face-to-face meetings between buyers and exporters from the Greater Caribbean region, Latin America, Pacific-Asia and Africa, all of whom have been previously accepted and approve for participation, which takes place once a given number of appointments has been confirmed on the website, generating an atmosphere favorable to business. The aim of the business matchmaking forum is to boost exports of regional products with potential buyers; Caribbean and foreign companies can review buyers and accept meetings through the website. For Cancún Forum 2017 40 buyers from Central America and the Greater Caribbean will be present, together with 120 Caribbean exporters.

Around one thousand business meetings will be held. ProMéxico’s offices abroad will start the promotional effort by identifying the purchasing firms in the region interested in participating in the event. Based on demand, ProMéxico’s offices in Mexico will invite Caribbean firms with exportable products to participate.

Companies interested in participating must register on the event website, for approval by the organizers.

All participating companies should register and will receive approval on the basis of the products and services they offer, their export capacity, and the requirements of international buyers.

  • Importers and distributors in the agro and fishing industries, processed foods, drinks, metal mechanical, chemical, construction materials, plastics industry, textile, ICT, health, pharmaceutical, machinery, electronical equipment, automotive and auto parts industries.
  • Buyers, distributors and importers of supermarket chains.
  • Buyers and sellers from the tourism industry: hotels, restaurants and cruises.
  • Buyers of grocery stores, boutiques and departments stores, for the fashion industry: textile, tailoring, shoes and jewelry.
  • Direct buyers from the construction industry, hardware stores and household products.
  • Buyers from departments’ stores, home centers and household items.
  • Foreign distributors, importers and representatives of the previous economical sectors.

 Phases of registration

 Dynamic

The business matchmaking sessions want to generate comercial meetings and business opportunities between Latin American and the Caribbean buyers and exporters.

On Thursday 28th and Friday 29th of September, pre-agreed face to face meetings will take place, an opportunity for the exporters to present theirs products to the buyers, according to the participating economical sectors.

 Procedures

  1. In order to participate in the business matchmaking forum you should register on the official website of Cancun Forum by filling out the registration form in its entirety. It is very important that the company completes all the obligatory fields, in order to ensure quality meeting sessions.
  2. Next, you will receive an email confirming your registration. An approval process will be carried out by ProMéxico staff in accordance with the acceptance policies. You will receive notification via email of your company’s acceptance to the business matchmaking forum.
  3. According to the published program, the meeting scheduling process will begin. Logging-in to the site with your username and password you will be able to manage all your business meetings by reviewing all the participating companies. At this stage the company status is “accepted”.
    1. Business meetings will be held between 40 foreign buyers and the Caribbean export companies that meet the participation criteria.
    2. In addition, using the option “Organize meetings”, you will be able to request meetings according to schedule availability. Appointments will be accepted or rejected according to the commercial interests of the parties. In the option “Manage business agenda”, you will be able to view your calendar and accept the meeting requests other participants have sent you, where these are of interest.
  4. Once you have reached the minimum number of meetings required, the company will automatically change its status to “confirmed”, granting you the benefit of attending the event with your schedule already programmed.
  5. Before leaving for the event we recommended you print the latest version of your agenda, which will show the times and table numbers for your meetings.
  6. Each foreign buyer will have a fixed table number assigned to them; there they will hold all their meetings. The Latin American or the Caribbean exporter will move from table to table according to their pre-planned meeting schedule.

 Phases of confirmation

Pre-registration
The company has partially completed the registration form. The registration must be fully completed to conclude the process.

Registration
The company has correctly completed the registration form. The company is undergoing the approval process and will be accepted on the basis of the admission policies set out by the event organizers.

Accepted
The company has met the necessary requirements to set up its meeting schedule with business counterparts. According to the agreed dates, it may request, confirm, or reject meetings according to its commercial interests. This phase does not imply confirmation of participation.

Confirmed
The company has organized the minimum number of business meetings required by the organizers and its participation in the event is confirmed. This will enable it to obtain the benefits provided for participation.

 Participation requirements

Be an international buyer with the minimum number of confirmed meetings (foreign company interested in acquiring Caribbean products or services).

Prior to the Event

  1. Fill out and submit the forms required (in case of applying for Travel Allowance).
    • Support Application for Foreign Beneficiaries (http://www.promexico.gob.mx/es/mx/bolsa-viaje-inversion)
      The information contained in the application and the company profile submitted will be analyzed by the event organizers in order to determine the feasibility of participation of each company.
  2. Registration to the business matchmaking forum
    • ProMéxico will send interested buyers the link for registration to the matchmaking platform for participants to fill out their business profile and their product/service requirements (minimum three).
    • The information will be analyzed by ProMéxico staff to determine the feasibility of company participation based on the potential of finding suitable counterparts.
    • After being validated, buyers and exporters will be able to organize their meetings schedule (sending and accepting business meeting requests via the platform). The link to enter the platform will be sent (via email) once the company is approved.
    • The final meeting schedule for each buyer must be accepted prior to the event.
  3. Confirm the flight itinerary to Cancun, Quintana Roo, for the dates of the event. It is requested to arrive by September 27, 2017.
  4. It is recommended to have a company website.
  5. It is recommended to bring business cards in Spanish and English.

During the event

  1. Attend the business meetings and general activities scheduled by organizers.

After the event

  1. Complete and submit to ProMéxico the evaluation survey provided to each event participant, together with subsequent follow-up surveys.
    • Start the reimbursement application procedure with the nearest ProMéxico office (OREX).
      IMPORTANT: In order to apply for reimbursement, the companies must submit all boarding passes, both inbound and outbound, showing that the person attending the event left the country where the company is established.

Conditions of participation

Completion of registration does not guarantee admission to the event (see the different phases for confirming participation in the business matchmaking sessions). To this end, ProMéxico will undertake a rigorous selection process of the registered companies based on the information provided in the registration form. Successful verification of this information will automatically change the company status from REGISTERED to ACCEPTED.

It is important to bear in mind that those companies accepted and confirmed may attend with a maximum of two participants. Entry is not permitted to a third person from the same company.

Failure to attend the event or business meetings will be cause for rejection in future events organized by ProMéxico.
